Documentation Quality - Archiving and Dissemination

Documentation Quality is about: 1.) research methods, 2.) scientific writing, 3.) document archiving and dissemination. This is about No 3. This is what (at best) documents in this repository should have: Summing up: This Repository uses various offers available outside HAW Hamburg. Documents and their content is prepared to be ... Our documents can be found here:

As explained, to some databases I make/initiate an upload (DNB, LU Hannover => DataCite, Internet Archive, WorldCat). Some databases crawl registered repositories at irregular intervals (see our own registrations listed above). Again other databases (Google, Semantic Scholar) crawl the whole web and eventually also find our contributions. Links are provided on each Landing Page, so that coverage can be checked easily. It is understandable that new documents will have limited coverage, but that coverage growth over time for each document. Full coverage may only be reached after one year. I continue work on having the repository registered at additional databases and to improve and standardize metadata to receive even better scores to increase upload probability.

At LU Hannover four links can be differentiated for my delivered data (there is no single link to cover all of this):

The OAI-PMH-Compatible Static Repository

In order to supply distributors like WorldCat, with an OAI-PMH-compatible repository, the file Repository1.xml was built with Microsoft Access and a standard text Editor.

DINI-Logo The repository scores 74.2% towards fulfilling requirements (2013 standards) for its OAI interface according to the DINI-Certificat (2016) for Open Access Repositories. A higher score is not possible, because this repository is a simple OAI Static Repository. Static Repositories are by definition not able to support

  1. Sets
  2. a "Deletion-Strategy"
  3. a "Resumption Token"
However, this deficiency is not a practical problem, because these three features are not really needed for a small repository.
  1. The information expected at the level of the "Sets" is included in each Record. It is: "open_access", DDC-Category, and Document Type.
  2. Records will not be deleted from the repository and hence a "Deletion-Strategy" is not needed.
  3. The repository is relatively small and a break (with later resumption) during ingestion is not needed.
As required by DINI, the repository uses the Controlled Vocabulary for Resource Type Genres in its Document-Type-Identifier. E.g.: <dc:type>doc-type:studyThesis</dc:type>.

This repository uses also info:eu-repo Publication Types as required by OpenAIRE.

OAI Static Repository Gateway
Working principle of a static repository. This repository provides what is named "http://site1.org/mini/file1" in the figure with Repository1.xml.

Repository1.xml includes all documents from "Collection A) Student Results" and "Collection B) Research Results from AERO"
Repository2.xml includes only documents from "Collection A) Student Results", because it is harvested only by NDLTD and DART-Europe, which are specialized on ETDs.


 

Report Preparation for Delivery

The repository collects reports (Project, Bachelor or Master Thesis, Technical Note, ...) prepared by students and staff working with Prof. Scholz. Uploads are organizied by personal communication. Nevertheless, an upload should be prepared as outlined here.

The report has to meet (up to date) publication standards:

  1. The report has to have a Uniform Resource Name (URN)
  2. Research data (calculations, data, statistics) going along with the report has to be published before the report is finalized and has to be identified with a Digital Object Identifier (DOI)
  3. The report has to have a Documentation Page located behind the Title Page(s) and before the Abstract. The Documentation Page shows text in which the actual URN - and DOI(s) if applicable - are embedded.
  4. Metadata describing the report formally has to be generated.

 

1) A Uniform Resource Name (URN) for the Report

You have to use a Uniform Resource Name (URN) for the report. A URN is a persistent identifier that will never break (if properly maintained), so that anyone can always refer to this name. You will later link to your report e.g. like this: http://nbn-resolving.org/urn:nbn:de:gbv:18302-aero2017-12-13.019 . This is an example of a URN as used by Prof. Scholz at HAW Hamburg:

The URN is part of the URL (the link). The last digit is called check digit. The date in the URN (above: 2017-12-13) is the delivery date of your report (as given on its front page). This is the date you (intend to) submit your report. Get your unique URN and put it into your report:

2) Digital Object Identifier (DOI) for Published Research Data

Also the DOI is a persistent identifier that will never break (if properly maintained), so that you can always refer to this name. Prof. Scholz will store your research data for you in Harvard Dataverse. You will later link to your research data e.g. like this: http://doi.org/10.7910/DVN/2HMEHB . This is an example of a DOI from Harvard Dataverse:

The DOI is part of the URL (the link). If you do not have any reseach data to publish, you can skip this point. Otherwise:

Deliver your data to be uploaded at Harvard Dataverse to Prof. Scholz. In return, you will get the DOI.

 

3) Documentation Page

Get the template for you Project, Bachelor or Master Thesis, :

The template is for a project, but the documentation page would be the same also for a thesis. Put the generated URN and the DOI (if you have research data) into the documentation page!

 

4) Submit Metadata

Some data is in German. Skip this (input xxx in the form), if you are not able to provide this data.

This is what needs to be considered / provided to Prof. Scholz:

4.1) 3 Dewey Decimal Classifications (DDC) and 3 related German "Sachschlagwörter" (GND) [also called: Sachschlagwort (SWS)] from:
PDF/A Klassifikation_DDC_629.13.pdf    Size:  374K
Select e.g. 2 from the scientific field and one from the aircraft type under consideration.

4.2) One more (Nr. 4) Sachschlagwort (GND) (to give more freedome to describe everything of importance).

4.3) A class from Regensburger Verbundklassifikation (RVK):

4.4) 4 Standardized English Keywords from FAST (Faceted Application of Subject Terminology) / Library of Congress Subject Headings (LCSH). See Link below!

All the data will be on the Landing Page for the report in the end. It will be available for Google & Google Scholar and will be used for the uploads into the DNB and into the Repository in Hannover.

Producing PDF/A

The PDF is not produced with the "Print"-Menue, but with "Save As". From there "PDF or XPS" is selected. Further options to select are shown in the screen shot below.

Validating PDF/A, Correcting PDF/A

If checked against the standards, most PDF/As produced show some errors. It seems PDF/A is of better quality, if produced directly from the text processor rather then produced as PDF and converted subsequently to PDF/A from a PDF to PDF/A conversion.

The Logo

Logo Landing Page

The logo is the symbol for a landing aircraft. It links to the topic of this repository: "aviation". Moreover, the logo stands here for the collection of landing pages. Landing pages contain the (machine-readable) metadata to feed especially Google Scholar. As such, landing pages are key for the documents to be precisely found on the Internet. Also Google Custom Search - searching locally in this repository - depends to a large extend on what is contained on the landing pages. Note: An aircraft flying down the Instrument Landing System (ILS) with a glide slope of 3° and a typical Angle Of Attack (AOA) will have a nose up attitude. We stick here to this international symbol, because an aircraft nose up would be interpreted as an aircraft taking off.

Definition of Grey Literature:
Grey literature stands for manifold document types produced on all levels of government, academics, business and industry in print and electronic formats that are protected by intellectual property rights, of sufficient quality to be collected and preserved by library holdings or institutional repositories, but not controlled by commercial publishers i.e., where publishing is not the primary activity of the producing body.
